- Timeline. "Are you looking to start this month, or planning ahead?" This one question splits your list in half.
- Budget signal. Not an exact number. A range, or a reaction to your starting price.
- Decision role. Owner, manager, or someone gathering options for a boss.
- Fit. Service area, job size, and whether you even do the thing they asked about.
- Source and context. Which page they came from, what they searched, what they already read.
Then it books the good ones straight into your calendar, sends the maybes a nurture sequence, and politely tells the bad fits no. Your team wakes up to three booked calls instead of sixty unread emails.
Hot, warm, and not now
Hot leads get a calendar link and a text within a minute or two. Warm leads that are real but early go into a follow up track that pings them in two weeks, then again next month. Tire kickers get a helpful answer and a link to your pricing page, which is honestly what they wanted.
Nobody gets ghosted. That's the part owners tend to underrate. Every lead gets a reply, so your reviews and referrals hold up, and your salespeople only spend time on people who raised their hand.
Keep a human in the loop
The AI qualifies. It does not close, and it shouldn't pretend to be a person. Give it a clear scope: ask, answer known questions, book, and escalate anything unusual to a human by text. Set a rule that any lead above a certain value goes to a person immediately, no matter what the score says.
